1. Information We Collect and Process

Account and profile information

We may process your account email address, Firebase user identifier (UID), email-verification and authentication state, and the driver or profile information you choose to provide.

Documents and analysis data

When you use a document feature, we may process the PDFs, images, contracts, rate confirmations, and other trucking documents you submit. Processing may include the information contained in those documents, extracted fields, document metadata, technical findings, and analysis results.

Saved records

We may store saved trips and Evidence Vault records, including information you choose to retain from a scan, and saved Contract Analyzer results. Saved information is different from temporary data used only to process a document.

Usage, subscription, and security data

We may process scan and Contract Analyzer usage or quota counters, request and job status, rate-limit and abuse-prevention information, timestamps, errors, app version and platform, and subscription or Premium entitlement status.

Feedback and support

When you contact us or submit feedback, we process the category, message, follow-up choice, account identifier, verified email when follow-up is requested, and limited app or device context included with the submission. We do not automatically attach your uploaded documents, scan results, lookup results, or Evidence Vault content to in-app feedback.

Company, broker, route, and fuel information

When you use Company & Broker Lookup, we may process the DOT or MC number, company name, and public-record lookup results. Route, deadhead, and fuel-cost features may process places, routes, mileage, fuel-price information, and related calculations.

Location

If you choose a feature that requires your current location, including Smart Upload, deadhead, or route calculation, RateProof may access and process your precise location for that request. The location may be sent to Google Maps Platform to calculate a route, distance, or related result. RateProof does not use background location tracking and does not use precise location for advertising.

Local app and cache data

RateProof stores certain records, preferences, counters, cached data, and temporary files locally on your device. Depending on the feature, local data may include profile information, saved trips, earnings or maintenance records, document references, app settings, and a user-provided provider credential stored in secure device storage.

2. How We Use Information

• Create, authenticate, verify, protect, and delete accounts.
• Provide document scanning, Contract Analyzer, Evidence Vault, lookup, route, and calculation features.
• Return extracted information, technical observations, and analysis results.
• Save records that you choose to retain.
• Apply usage limits and determine subscription access.
• Operate, secure, troubleshoot, and improve RateProof.
• Respond to feedback, support, privacy, and legal requests.

3. Document Processing and Retention

Depending on the feature, a submitted document, images derived from it, extracted information, and relevant analysis inputs may be sent to RateProof cloud infrastructure and the providers identified below.

For scanner jobs, raw scanner request content is removed from active job data after the job reaches a terminal completed or failed state. Temporary RateProof Storage uploads are deleted on a best-effort basis. Scheduled cleanup scrubs temporary completed-result content; we do not promise deletion at an exact number of minutes.

Operational scan-job metadata and scan-audit records may remain while your account exists, unless otherwise removed. Saved trips and saved Contract Analyzer results remain until you delete the saved record or successfully delete your account.

RateProof does not delete an original file kept in your photo library, email, cloud drive, file provider, or another location outside RateProof. Provider logs, backups, transaction records, and security records may be retained under provider, security, billing, backup, legal, or operational requirements. We do not assign retention periods that are controlled by those providers.

4. Service Providers and Feature-Specific Disclosures

Depending on the feature you use, information may be processed as follows:

• Firebase / Google Cloud provides authentication, databases, file storage, cloud functions, and related infrastructure. It may process account identifiers, profile data, saved records, usage and security data, uploaded content, and processing results.
• Anthropic processes content sent for supported document, contract, market, or settlement analysis features. The exact input depends on the feature used.
• Google Gemini processes supported document or image content for features that use Gemini-assisted extraction or analysis.
• Adobe PDF Services may receive PDFs submitted to features that require PDF extraction or conversion.
• RevenueCat receives an account identifier and purchase or entitlement data needed to manage Premium access. Apple processes App Store purchases, subscriptions, billing, and transaction history. RateProof does not receive your full payment-card details from Apple.
• Resend delivers feedback notification emails and may process feedback text, associated account email, and limited submission context included in that email.
• Google Maps Platform processes locations and route requests for mapping, current-location, deadhead, distance, and route calculations.
• FMCSA and other public transportation-data sources process lookup inputs or provide public company, broker, carrier, authority, registration, and safety information.
• U.S. Energy Information Administration provides public fuel-price data used for supported fuel-cost estimates; the applicable state or region may be used to select data.

Not every provider receives every type of information. We intend to send only the information used for the applicable feature. Provider processing is also subject to each provider's own terms, privacy practices, and retention requirements.

5. Automated Results and Public Information

RateProof results are informational and may be incomplete or incorrect. RateProof does not determine fraud, certify document authenticity, verify an issuer's identity, provide legal advice, or guarantee that a broker or carrier is legitimate. Company & Broker Lookup presents public-record information for your review and is not a legitimacy determination. Independently verify important business, payment, contractual, safety, identity, and legal matters.

6. Account Deletion

You can request deletion from the Profile area in the RateProof app. For security, RateProof requires recent authentication or reauthentication before completing account deletion.

After successful account deletion, RateProof removes the following from active RateProof-owned systems: your Firebase Authentication user; users/{uid} and its child data; saved trips and contracts; scan jobs and scan-audit records; usage, quota, feedback, and account rate-limit data; marketPulseWaitlist/{uid}; RateProof Storage content under scanUploads/{uid}; and supported local app and cache data.

Account deletion does not promise deletion of Apple purchase or transaction history, RevenueCat provider records, feedback email copies already delivered to a mailbox, provider logs or backups, transaction or security records, or original files stored outside RateProof. Those records may remain where required or permitted for provider operations, billing, security, backups, transactions, or legal compliance.

Deleting a RateProof account does not cancel an Apple subscription. Manage or cancel the subscription separately in your Apple Account subscription settings. See the Subscription Terms.

7. Security

RateProof uses Firebase Authentication, verified-email protection for protected features, server-side access controls, server-held provider secrets for server-managed integrations, and recent-authentication protection for account deletion. No internet or storage system is guaranteed to be completely secure.

8. Sale, Advertising, and Tracking

RateProof does not sell user data. The current RateProof app does not include an advertising or cross-app tracking SDK, and RateProof does not use documents, scan results, or precise location for advertising.

9. Your Choices and Privacy Rights

You choose whether to upload a document, save a record, use a current-location feature, submit feedback, or delete your account. Depending on where you live, applicable law may provide rights to request access, correction, deletion, portability, restriction, objection, or appeal. Legal exceptions may apply, and we may need to verify your identity.

10. Children's Privacy

RateProof is not directed to children under 13, and we do not knowingly collect personal information from children under 13.

11. Changes to This Policy

We may update this Privacy Policy as RateProof changes. The date above identifies the most recent revision.
